How to Upload a Roster

Things you must do in order to have a successful upload:

  • You must download and use our template then upload it as a .xlsx file.
  • Do not delete any tabs or column headers.
  • All required columns must be filled in.

Things you will need: 

  • A list of your classes/teacher names.
  • A list of your runners with first name, last name, gender, grade, and student ID (optional but helpful with year over year tracking).
  • Optional: Parent contact information (first name, last name, email) if you want them to track their child’s progress and have the ability to track miles run at home.

 

Upload Roster Steps:

Step 1: Add your classes on the “Add Classes” tab

What you will need to input?

        1. Class Unique Number Column
          • Simply number your classes 1, 2, 3, 4, 5, etc,.
          • You will use this unique number on the Add Runner tab to group your runners by their assigned class/group
        2. Teacher First Name
        3. Teacher Last Name
        4. Class Name  (optional)
          • If left blank we will populate the Class Name as the “Teacher First Name” Teacher Last Name” and “Class”
          • Example: “Brandon Trodick Class”

Step 2: Add your runners on the “Add Runners” tab

What you will need to input?

        1. Student ID (optional)
          • Recommended to use the runner’s actual student id to track year over year effort.
          • If left blank we will populate a unique ID.
        2. Runner First Name (required)
        3. Runner Last Name (required)
        4. Gender (required)
          • To prevent conflicts/errors this is what is accepted:
            • Female, female, FEMALE, f, F
            • Male, male, MALE, m, M
            • Unspecified, unspecified, UNSPECIFIED, u, U
        5. Grade (required)
          • To prevent conflicts/errors this is what is accepted:
            • PK, pk for Pre-K 
            • KG, kg for Kindergarten
            • 1,2,3,4,5,6,7,8,9,10,11,12
        6. Class Unique Number (required)
          • This is what is accepted
            • Look back on the “Add Class” tab, copy the class unique number that you assigned to each class/teacher
            • Enter that number next to the group of runners on the Class Unique Number column who are in that class/group
        7. Parent Information (optional)
          • Parent information is required if you want to invite parents to follow their child’s progress and have the option to submit miles from home. 
          • This is what is required
            • Parent First Name 
            • Parent Last Name
            • Parent Email

Step 3: Save your document as an .xlsx file on your computer.

Step 4: Upload file.

 

*ATTENTION: If you have errors, you will select the “download” button to fix the errors noted in the error column on the spreadsheet. When errors have been corrected, save your work and upload the spreadsheet again. Never erase the existing classes.
